Job description

The Role

The job holder is expected to undertake a wide range of secretarial administrative activities to support senior management, their teams and assist in the smooth running of the department including Executive Assistant support when required. They are expected to be an experienced secretarial administrator with a comprehensive understanding of the systems, processes and procedures of the department. They are expected to work professionally and efficiently liaise with internal and external stakeholders. The candidate will be responsible for handling all business administration tasks with high degree of automony, demonstrate the ability to work efficiently and effectively without constant supervision.

Typical Duties:

  • Undertakes a range of specific secretarial and administrative duties to provide support to senior managers and management teams and contribute to the smooth running of the department.
  • Support and control diary management and meeting requirements for the line manager ensuring appropriate time management to allow adequate meeting preparation.
  • Arranging and co-ordinating travel requirements and associated costs using company systems, working to budget constraints and optimising use of Manager's time.
  • Proactively collating and analysing information from various sources in order to produce reports, schedule, presentations, summaries and letters as required for internal/external distribution.
  • Understand the need to engage with senior management as and when appropriate in order to report, obtain authorisation, highlight and escalate issues.

Knowledge:

  • Considerable experience of providing secretarial support to a senior manager, or significant experience of providing an administrative service.
  • Have experience of building and maintaining effective relationships with senior management, and internal and external stakeholders.
  • An understanding of how to deal with confidential information/issues and how to store appropriately.
  • Have good understand of the company, its structure and relevant procedures.
  • A good understanding of key senior stakeholders within the business.

Qualifications:

Experience in providing secretarial support to a Senior Manager, or significant experience providing an adminstrative service.

Security Requirements: SC

This role will require the person to hold full Security Clearance (SC) prior to working onsite. You will need to obtain a BPSS check as part of this process. You must currently hold or be eligible and willing to obtain SC and you must be eligible to work in the UK without sponsorship and have lived and worked in the UK for a minimum 5 year period. This role is for UK EYES ONLY

The Umbrella rate quoted above is the Gross Umbrella rate (i.e. the rate we pay to the Umbrella Company inclusive of ALL employment costs).
